Your objectives and goals: Take into consideration the number of attendees and when you want to plan your event and allow plenty of time for proper planning. Decide what the event is for: – organizing an incentive to reward guests or else special art tours etc.

The budget for your event is a major component when planning a program: deciding all components, from destination to hotel category and activities to include. Having a budget will allow you to line up costs of the different components to avoid unwanted surprises. Keep very close control all along the way and make adjustments as needed to keep final cost within the budget originally planned.

The destination and date: Italy has many different destinations and some are very seasonal and with several logistics to be considered. Just to give you a little help here is a short list:

Rome – Florence – Milan – Venice – Naples – Sicily – Bari (Apulia) these are the cities with the best weather all year round, coming in low season (winter) may save you something and this should be considered, unless your dates have to be connected to the economy of your business market.

Milan lakes – Apulia – Italian Riviera – Italian lakes. All these destinations historically have better enjoyed weather when coming March–April–May–June and September–October–November.

Italian Riviera & Sardinia. Best months are from May to end of September, these have heavy high season. So if you are considering these areas be sure your travel and event program avoids July & August.

Agreement: having the right people around. Start selectingwith your colleagues to find the best travel partner for the M.I.C.E. of yourself.
